How does the overall process work from start to finish?
The process has four steps: (1) Submit — fill out our secure online form in under 5 minutes with your refund details and any supporting documentation. (2) Expert Review — within 24 hours, a specialist validates your claim and builds a recovery strategy. (3) We Negotiate — we engage directly with the carrier, merchant, IRS, or financial institution on your behalf. (4) You Get Paid — your refund is sent directly to you and tracked live in your client dashboard. Our fee is only applied after you receive your refund.
How long does a typical claim take to resolve?
Our overall average is 14 business days from submission to payment. Timelines vary by claim type: shipping refunds average 9 days, e-commerce disputes average 7 days, chargeback resolutions average 12 days, and tax refund follow-ups average 18 days. Audit cases can take 20–25 days. After your specialist reviews your claim, you'll receive an estimated timeline specific to your case.
What happens after I submit my claim?
Immediately after submission, your claim is automatically categorized and routed to a specialist team. Within 24 hours, a dedicated specialist reviews your case, confirms eligibility, assesses win probability, and builds a filing strategy. You'll receive a summary email with their findings, the recovery plan, and the estimated timeline before we take any action.
How will I be updated on my claim's progress?
Every claim gets a dedicated entry in your secure client dashboard, updated in real time as your specialist takes action. You'll see the current status, every action taken, every provider response received, and the estimated timeline to resolution. You'll also receive email notifications at each major milestone — case opened, review completed, claim filed, response received, and refund confirmed.
What happens if a provider denies my claim?
A denial is not the end. In most cases, denials happen because of insufficient documentation or incorrect filings — not because the claim is invalid. Your specialist will review the denial reason, strengthen the evidence package, and re-file. If escalation is warranted, we escalate through supervisors, regulatory complaint channels (BBB, CFPB, state AG), or arbitration. Only after all reasonable paths are exhausted without success is a case closed — at no charge to you.
Can I submit multiple claims at the same time?
Yes. Individual clients can submit multiple claims — each is handled as a separate case with its own specialist assignment and timeline. Business and Enterprise clients receive bundled pricing and unlimited simultaneous claim submissions. All active claims are visible and tracked in your unified client dashboard.
Can I cancel a claim after submitting it?
Yes. You can withdraw a claim at any time before a refund is confirmed, at no cost. If a refund has already been obtained on your behalf before cancellation, our standard success fee applies to the recovered amount. What does your negotiation process look like?
Our specialists compile a complete evidence package and file through the appropriate portal, phone line, or certified mail channel. We follow a multi-channel engagement approach — using whichever combination of contact methods generates the fastest response from a specific provider. Every communication is documented and timestamped. If initial filings are stalled, we escalate progressively until resolution is achieved or all viable paths are exhausted.

Do I pay anything upfront?

Absolutely never. Swift Refund Claim operates on a pure success basis. You pay nothing to submit a claim, nothing during the review and negotiation process, and nothing if we don't win. Our fee — a percentage of the recovered amount — is only charged after you have confirmed receipt of your refund. If we don't recover money for you, your cost is zero.What percentage do you charge when a claim is successful?
Our fees depend on your client tier: Individual clients: 20% of the recovered amount. Business clients: 15% of the recovered amount. Enterprise clients: custom rates negotiated based on volume and scope. For example, if we recover $1,000 for an individual client, our fee is $200 and your net payout is $800. You'll receive a transparent itemized receipt showing gross recovery, fee, and net payout.
Are there any hidden fees or minimum charges?
No hidden fees, ever. No account fees, no filing fees, no consultation fees, no minimum recovery thresholds for individual clients, and no cancellation fees. The only charge is our success percentage, applied transparently and only upon confirmed recovery. Business clients have a minimum recovery threshold that is disclosed upfront before engagement — this is to ensure our team's time is appropriately matched to claim scale.
How and when exactly is your fee collected?
Our fee is applied after your refund is confirmed and received. For carrier credits and marketplace refunds, the fee is typically deducted from the credit before it's posted or invoiced separately. For direct cash refunds (IRS checks, bank reversals), you'll receive the full amount and we'll issue an invoice for our fee portion within 3 business days of your confirmed receipt. Payment is accepted via ACH, credit/debit card, or check.
Is there a difference in fees for different claim types?
No — the same fee percentage applies regardless of whether your claim is a shipping refund, tax overpayment, chargeback, or e-commerce dispute. Your tier (Individual vs. Business vs. Enterprise) determines the rate, not the claim category. The only exception is our audit service for business clients, which uses a custom rate due to the volume and complexity involved.
What if only a partial refund is recovered?
If we recover a partial amount — for example, $400 of a $640 claim — our fee applies only to what was actually recovered. You're never charged on amounts that weren't obtained. Before accepting a partial settlement, your specialist will present the offer to you and explain whether further negotiation is likely to yield more. You always have final approval over any settlement we accept on your behalf.

What information do I need to submit a claim?

Can I submit a claim that was previously denied?

It typically means the claim wasn't filed correctly, lacked sufficient documentation, or the wrong escalation path was used. Do I need to be present or available during the process?
Minimal involvement is required. Once you submit your claim and any requested documents, your specialist handles everything. The main instances where we may need your input are: (1) if additional documentation is required that only you can provide, (2) if a settlement offer is made that requires your approval, and (3) when confirming receipt of your refund. Most clients spend less than 20 minutes total on their claim beyond the initial submission.
What types of documentation should I upload?
Upload whatever you have — more is always better. Useful documents include: carrier invoices and tracking confirmations, order receipts and confirmation emails, photos of damaged or incorrect goods, bank or credit card statements, prior denial letters or case reference numbers, any email or chat communications with the seller or carrier, and tax returns or IRS correspondence for tax claims. Documents are accepted in PDF, JPG, PNG, and CSV formats up to 25MB each.
Do you handle claims for businesses as well as individuals?

What is the minimum claim amount you will handle?
For individual clients, there is no minimum claim amount. We've successfully recovered claims as small as $18 and as large as $85,000. A $90 Amazon dispute receives the same level of specialist expertise as a $90,000 logistics audit. Our no-win, no-fee model means the quality of your representation is never limited by the size of your wallet. Business and Enterprise clients may have a minimum threshold — this is disclosed transparently at engagement.
Can I track my claim in real time?
Yes. From the moment your claim is submitted, it's visible in your secure client dashboard with real-time status updates. You can see the current stage, every action your specialist has taken, all provider responses received, and the estimated resolution date. Email notifications are sent at each key milestone. There is no need to chase updates — your dashboard is always current.

Which shipping carriers do you work with?
We work with all major U.S. carriers including UPS, FedEx, USPS, DHL, OnTrac, LaserShip, Amazon Logistics, and most regional and last-mile carriers. For international shipments originating from or arriving in the U.S., we can also engage with carriers' U.S.-based billing and dispute departments. If your carrier isn't listed, submit your claim and we'll confirm coverage during review.
What e-commerce platforms do you cover?
We cover all major platforms where a purchase dispute mechanism exists, including Amazon, eBay, Walmart, Target, Wayfair, Etsy, Shopify-powered stores, Overstock, Newegg, and more. For platforms not explicitly listed, our specialists assess the available dispute pathways and advise on viability. We also handle disputes on international platforms (Alibaba, AliExpress, etc.) where U.S. consumer protection channels can be engaged.
Do you handle IRS refunds for businesses as well as individuals?
Yes. Our tax refund service covers both individual and business federal and state tax cases. What is the Transaction Audit service and who is it for?
Our audit service is designed for businesses with recurring shipping, payment, or e-commerce activity. We analyze up to 18 months of transaction history across all your accounts — carriers, marketplaces, banks, and payment processors — to identify every missed refund, billing error, and unclaimed credit. You receive an itemized report of all identified opportunities, then approve which ones to pursue. We recover everything approved on a no-win, no-fee basis. Business clients averaging $10,000/month in shipping typically see 3–8% of that spend returned as refunds.
Do you offer ongoing refund monitoring, not just one-time claims?
Yes. Business and Enterprise clients can enroll in continuous audit monitoring — our system automatically scans your connected accounts for new refund-eligible events every billing cycle. State-specific regulatory requirements vary, and our compliance team ensures all filings conform to the rules of the relevant jurisdiction. We do not currently operate outside of the United States, though we can engage on claims involving U.S.-based providers for goods shipped internationally.

We are fully compliant with FDIC, FTC, and CCPA regulations. Our infrastructure is hosted on SOC 2 Type II certified cloud infrastructure, audited annually by a third-party security firm. Your data is never sold, rented, or shared with any third party for any purpose beyond processing your claim.Can you access or move my bank accounts or funds?
No. Any account access we request — such as read-only access to your carrier account or bank statement exports — is strictly read-only. We cannot initiate transactions, transfer funds, or make changes to your accounts. We never request your banking login credentials. The refund itself is issued by the carrier, merchant, IRS, or card network directly to your account — we are the intermediary who secures the approval, not the party who handles the money.
Who can see my claim information?
Your claim information is accessible only to you and the Swift Refund Claim team members directly assigned to your case. We operate strict internal access controls — claim data is compartmentalized by client and accessible only to the assigned specialist, their supervisor, and our compliance team. No third parties outside of the provider being contacted on your behalf have access to your data. All staff access is logged and audited.
Do you sell or share my personal data?
Never. Swift Refund Claim does not sell, rent, or share your personal or financial data with any third party for marketing, analytics, or any other purpose. The only data sharing that occurs is the submission of your claim evidence to the provider we are negotiating with on your behalf — which you authorize when you engage our services. You can request a full account of all data we hold about you at any time by contacting privacy@swiftrefundclaim.com.
What compliance certifications do you hold?

How long do you retain my data after a claim is closed?
We retain your claim records for 7 years after case closure — consistent with standard financial record-keeping requirements — in case a dispute arises or a future audit references the same historical period. What happens when a claim genuinely isn't winnable?
During the specialist review stage — before any action is taken — claims that lack viable recovery paths are declined with a clear explanation. We don't accept unwinnable cases because our success-based fee model means we have no incentive to pursue dead ends. Do I need to create an account to submit a claim?
A client account is created automatically when you submit your first claim. Your account gives you access to the secure client dashboard where you can track all active claims, view case histories, manage documents, and communicate with your specialist. Account creation is instant and requires only your name, email address, and a password. No credit card or payment information is required at signup.
What can I see and do in the client dashboard?
The client dashboard provides: real-time status updates on all active claims, a full action log showing every step your specialist has taken, provider response tracking, document upload and management, secure messaging with your specialist, estimated resolution timelines, a complete history of closed cases with recovery summaries, and payment receipts. Business clients additionally see multi-claim management tools and audit reports.
Can I add multiple users to my business account?
Yes. Business and Enterprise accounts support multi-user access with configurable permissions. You can add team members as viewers (read-only), claim managers (can submit and manage claims), or account admins (full access including billing and user management). All user actions within the account are logged for audit purposes. Contact your account manager to configure team access for your organization.
What if I forget my password or lose access to my account?
Use the Forgot Password link on the login page to reset your password via email. If you've lost access to your registered email address, contact support@swiftrefundclaim.com with your name, the email address on file, and a government-issued ID for identity verification. Account recovery is typically completed within one business day. Two-factor authentication (2FA) is available and recommended for all accounts.
Can I close my account and have my data deleted?
Yes. You can request account closure and data deletion at any time, subject to two conditions: (1) all active claims must be resolved or withdrawn, and (2) any outstanding fee invoices must be settled. Once these conditions are met, we will permanently delete your account and personal data within 30 days, except for records legally required to be retained under financial regulations (maximum 7 years).
